OPERATIONS DIRECTOR

Hull’s Angels, Inc., a nonprofit organization operating Hull’s Drive-In Theatre in Lexington, VA, is seeking a motivated, skilled and dedicated individual to assume a leadership role as Operations Director. This seasonal (9 months per year) employment will report to the volunteer Board of Directors and have overall responsibility for managing drive-in operations, including overseeing all concessions activities and operating the digital projector. Qualified candidates will have at least five years of significant experience in food service and management, with projection experience a plus. Must be willing to work weekend evenings throughout Hull’s eight-month operating season. Compensation based on qualifications and experience. JOB DESCRIPTION

Operations Director:  The Operations Director (OD) is hired/fired by the board, and reports to the Board.  The OD will be responsible for coordinating all of the operations of the Drive-In to ensure successful theatre showings.  The OD will be responsible for the implementation and oversight of all operations relating to movie, theatre and concession activities, while maintaining the highest quality standards. The OD will have primary responsibility for the collection, accounting, depositing and reporting of all cash activities at the Drive In.  The OD will hire, train and manage Drive In staff.  OD will oversee and be responsible for the Drive In’s Buildings, Grounds & Equipment, and all Concession and Movie activities. 

 

OD Duties:

  • Be responsible for the collection, reconciliation, deposit, and reporting to bookkeeper for all revenues.
  • Hire, train and manage employees as per Board approved policy
  • Be a non-voting member of the Operations Committee.
  • Represent Hull’s Angels Inc./Hull’s Drive-In for media events as required.

 

Movies:

  • Book and confirm movies as directed by Movie Committee.
  • Maintain records of movie attendance, sales, etc. and provide summaries to BOD and committees, as requested.
  • Lock/unlock, turn on/off lights & monitor bathrooms.
  • Coordinate 50/50 raffle.

 

Financial Responsibilities:

  • Be responsible for the oversight and daily reconciliation of $2,000 register changes and change reserves. (Note that board treasurer, or designee, may perform an unannounced audit of these funds at any time.)
  • Verify accurate cash register records and gate, and counter-sign the nightly concession, gate, Angel Booth and 50/50 reconciliation reports.
  • Deposit all receipts, along with reconciliation forms, in depository safe, and then at the bank.
  • Pick up bank bags and change from bank, and prepare cash bags and paperwork, including reconciliation reports, for concession, gate and angel table.
  • Responsible for making timely bank deposits for all revenues received at the drive-in.
  • Review, monitor, and approve all vendor and movie invoices. Submit weekly to the bookkeeper for payment.
  • Submit bi-weekly payroll for processing (hours and job performed).
  • Ensure the tax-exempt status and favorable pricing terms with vendors.
  • Be assigned and responsible for Lowe’s and Sam’s Credit Card.
  • Coordinate with bookkeeper and accountant as necessary.
  • Prepare weekly operation reports for the ED, bookkeeper and treasurer.  Highlight promptly all deviations from operations activities from the approved budget, and recommend changes to budget.

 

Employees:

  • Recruit, hire, train and manage employees as per Board approved policy.
  • Place help wanted ads for new employees.
  • Create and maintain accurate and updated records for all employees.
  • Develop weekly schedule for all drive-in employees and secure coverage as needed.
  • Verify all time cards (hours and job performed) and submit to Bookkeeper.
  • Maintain harmonious customer relations during operations and resolve problems.
  • Resolve employee issues, in accordance with Hulls Angels Grievance Policy (see policy manual).
  • Assess employee performance with annual written performance reviews, and regular performance feedback.
  • Document annual employee reviews.
  • Recommend annual employee bonuses to the Board.
  • Ensure that the Gate staff or volunteers complete at the end of each shift the board-approved gate reconciliation/close-out reports. Counter-sign these reports.
  • Ensure that Concession Reconciliation forms are completed at the end of each shift, using board-approved templates. Counter-sign these reports.

 

Buildings, Grounds & Equipment:

  • Manage and coordinate the opening, closing, and routine and preventive maintenance of building, grounds, & equipment.
  • Schedule maintenance services for trash, grease trap, road maintenance, and grass cutting, etc.
  • Schedule contractors to perform repairs as needed, as per approved budget.
  • Close down at end of season all concession and theater operations, and create checklist for ED or board monitoring of Drive-In facilities and equipment during the off-season.

 

Working with Volunteers:

  • Incorporate, train, supervise, and maximize the use of volunteers into the drive-in operations and capital improvement projects, in conjunction with the ED.
  • Work with ED, in advance to determine number of volunteers required each night for regular showings, special events, and theatre rentals.

 

Special Events and Theatre Rentals:

  • With the ED, coordinate personnel and facilities for all special events such as opening weekend, homecoming, birthday bash, etc.

 

Concession Duties:

  • Set up inventory management system.
  • Track concession sales as requested by the Finance Committee.
  • Using Continuous Improvement management systems, improve efficiency and profitability of Concession activities.
  • Responsible for quality control of food & service.
  • Train employees to perform their various duties, and in safe food handling procedures.
  • OD will be certified in food sanitation management, by the local Health Department.
  • Supervise concession operations, employees, and volunteers.
  • Assess car count, weather, and movie line-up to determine proper staffing level. Monitor conditions, changing food production to meet demand.
  • Assist with the preparation and service of food, as required
  • Monitor stock levels of all needed items and order as needed to insure zero stock outs.
  • Minimize food waste and maintain date compliance on all food stock.
  • Evaluate Hulls vendors and item pricing to ensure cost effectiveness and highest food quality for concessions.
  • Order food and supplies.
  • Meet vendors for weekly deliveries and store food, or arrange for another to perform task.
  • Manage food purchases from local vendors, as needed.
  • Review invoices to confirm receipt of all goods and services.
  • Ensure cleanliness of concession stand and bathrooms at all times.

 

Movie Duties:

  • Closely monitor movie rental fee structure to ensure conformance with budget targets.
  • Monitor delivery and schedule pick up of movies.
  • Report weekly ticket sales, booking agents and/or movie companies.
  • Responsible for day-to-day maintenance of projection and sound system.
  • Download movies and build Playlist.
  • Operate projector and monitor picture and sound quality.
  • Coordinate with ED the weekly advertising of movies – including website, paid or free advertising, posters, handouts, email list, weekly handbills, etc.
  • Make announcements over PA.
  • Train, schedule, and supervise backup projectionist.
  • Perform repairs, whenever capable, on all drive-in equipment and systems.
  • Ensure required maintenance and servicing of all equipment is performed in a timely manner.
  • Change drive in phone recording at least weekly and monitor messages at least weekly.
  • Ensure that the Projection Room is clean at all times.
  • Ensure security cameras and motion detectors are installed and functioning properly.
